Applicant and candidate privacy statement
This applicant and candidate privacy statement (Privacy Statement) explains the approach adopted by Australian and New Zealand Banking Group Ltd ABN 11 005 357 522, of Level 9, 833 Collins Street, Docklands, Victoria, Australia 3088 including its branch offices in London, Paris and Frankfurt (ANZ) and any third parties that support processes involving the collection and handling of your personal information.
At ANZ we abide by the privacy laws in the countries in which we operate. The privacy laws in these countries regulate how we collect and use any personal information you provide about yourself and your referees.
If you are located in the UK or in the European Economic Area (EEA), please also refer to the "Specific privacy information for the UK and EEA" below which provides you with further specific information in accordance with UK and European Union data protection laws.
ANZ and your privacy
Our careers website is maintained under an agreement between ANZ and an external service provider. The website facilitates our candidate application process by collecting and passing the information you provide through this website to ANZ, ANZ related entities and external third parties who assist in the evaluation of candidates.
What personal information do we collect and hold?
We will collect and hold the following types of information about you:
- information to identify you such as your full name, title, date of birth and nationality;
- your contact details including telephone number(s), postal and email addresses;
- your resume, work history and references from your previous employer(s);
- information about your current level of remuneration, including any benefit entitlements;
- details of your professional activities and interests;
- details of your education, qualifications and references from your institutions of study;
- your interests and extra-curricular activities;
- information from any interviews, tests or assessments;
- information you have publicly shared on professional networks (such as LinkedIn) or other social media which may be accessed by prospective employers in accordance with applicable privacy laws; and
- other information needed to evaluate your suitability for a position including information which you provide through this website.
Where required under applicable laws or where you have given us your explicit consent, we may also collect and hold special categories of personal data such as
- information about your cultural or ethnic origin (optional) to monitor the bank's compliance with equal opportunities legislation;
- information concerning your health and medical conditions (for example, where required to make reasonable adjustments to your working conditions or environment); and
- information about criminal convictions (for example, where this is necessary for due diligence purposes, compliance with our regulatory obligations or employment law).
We may also collect and administer information about you because we are required or authorised by law.
How we collect your personal information
We collect your personal information in several ways, for example
- when you provide your personal information via application forms, resumes and covering letters, update your profile through this website, speak via telephone or use video recorded interviews;
- from external third parties, for example your previous or current employers, to verify details about you and/or your application to work for us; and
- in various other ways you interact with us during the recruitment process.
We also proactively look for great talent to become part of our team through referrals and by using career profiles and contact information on publicly available professional network websites like 'LinkedIn'.
How we use and hold your personal information
The purposes for which we will use personal information we collect in connection with your application and your potential employment or other engagements with us include:
- administering your job application, including assessing your suitability for the role, and where relevant, offering you a job with us;
- ensuring compliance with our legal and regulatory obligations by carrying out due diligence checks on you, including checking references in relation to your education and your employment history;
- organization and administration of any travel required in connection with your job application (e.g. reimbursement of expenses for a job interview);
- complying with our statutory record keeping and other obligations; and
- protecting our legitimate interests, in particular establishing, exercising or defending legal claims.
ANZ or authorised third parties may share your personal information to assess your suitability as an employee or contractor.
Where your personal information is shared with non-ANZ entities, we will seek to ensure that the information is held, used or disclosed consistently with the applicable privacy laws and codes.
We may hold your information to assess your potential suitability for future job opportunities with ANZ and ANZ related entities. We may contact you from time to time about opportunities with ANZ and ANZ related entities. We may hold your personal information for use in connection with any concerns or grievances raised in the application or recruitment process.
Disclosure of your personal information
ANZ may share your information, including information we receive through the recruitment process, with overseas organisations. The most common reason for disclosure is because some of our ANZ related entities are located overseas and are contracted to support operational teams on our behalf. We only disclose your information to these organisations when it is necessary for the services they provide to ANZ. Services include but are not limited to:
- managing the application and applicant's interaction with ANZ
- verifying an applicant’s background and/or qualification based on information supplied
- assessing an applicant’s competency and/or interviewing an applicant.
These overseas organisations are in the following countries:
- Australia, Singapore, and Hong Kong (through Australia and New Zealand Banking Group Limited)
- The Philippines (through ANZ Global Services And Operations (Manila) Inc)
- India (through ANZ Support Services India Private Limited)
- New Zealand (through ANZ Bank New Zealand Limited)
ANZ may also use other overseas service providers to help with our recruitment or candidate sourcing. For example, certain positions require psychometric assessment and ANZ may use a third party to complete the task with your consent. ANZ uses external service providers based in the USA, Asia, and Europe to help us manage your application and we will therefore need to send your information to an administrator with processing and/or data storage facilities in these locations.
The above is not a complete list of the countries to which your information may be disclosed when applying for a role. It may require ANZ to disclose your information overseas and the countries to which we may disclose your information will depend on the circumstances but will still relate to the purpose of assessing your application.
When doing so we will comply with applicable data privacy requirements and take appropriate safeguards to ensure the security and integrity of your personal information.
Taking care of your personal information
We store information in different ways, including in paper and electronic form. The security of your personal information is important to us and we take reasonable steps in accordance with applicable laws to protect it from misuse, interference, loss, and from unauthorised access, modification or disclosure.
We safeguard your personal data by:
- Implementing physical security – such as locks and security systems over our paper and electronic data stores and premises.
- Maintaining computer and network security – including firewalls, identification codes and passwords to control access.
Maintaining and monitoring our online security systems – around the clock, all year round by our security operations team.
How long do we store your personal information?
Your personal information will be deleted when it is no longer reasonably required for the purposes described above, or you withdraw your consent (where applicable) and we are not legally required or otherwise permitted to continue storing such data as per retention requirements of your location. If your application for employment is unsuccessful and we are not required or permitted by law to retain your personal information, we will hold your data on file for seven (7) years from the date of your original application unless shorter local retention periods apply (please see below for the UK and the EEA). We will ask for your consent to keep your data beyond this point for consideration for future employment opportunities. If you do not give us your consent, your data will be erased from our records upon expiry of the above retention period.
Correcting and accessing your personal information
We encourage you to help us keep your personal information accurate, complete and current by updating your profile via the 'applicant sign in page'.
Contact us if you think there is something wrong with the information we hold about you and we’ll try to correct it. We will try and help where we can and if we cannot we will let you know in writing.
You have a right to request access to the information ANZ holds about you, to seek correction or deletion of your information, and to lodge a complaint if you have concerns about how ANZ has managed your information. Your personal information and privacy
This Privacy Statement applies to all applicants for an employment or contract position, referees, and potential candidates ANZ has contacted.
When you click 'Accept' on the Privacy Statement, ANZ will collect and use your personal information in accordance with the guidance provided in this Privacy Statement (please see below for the UK and the EEA).
What if you do not want to provide us with your personal information?
You may choose not to provide your personal information to ANZ by selecting 'Decline'. If we cannot obtain the personal information we need we may be unable to create your account and candidate profile or to progress or administer your application or contact you if a suitable opportunity is identified in the future.
UK and EEA Privacy Information
If you are located in the UK or the European Economic Area, the following additional information sets out how we handle your personal information and which related rights and options you have under the privacy laws of the UK or the European Union, as applicable.
Who is responsible for your personal data?
ANZ, of Level 9, 833 Collins Street, Docklands, Victoria, 3008, Australia, its branch offices in London, Paris and Frankfurt or any other ANZ group entity specified as employer in the respective job advertisement, will be the primary responsible controller for your personal information.
Information on your data protection consent
When you create your account on our recruitment site, you have the option to:
- sign up to receive new job posting notifications by email (“Job Notification Consent”).
By selecting the Job Notification Consent option and creating your account, you consent to ANZ processing your personal data in accordance with this Privacy Statement for the above purposes.
You understand that your consent is voluntary and that you may revoke it at any time with effect for the future by de-selecting your permission in your candidate profile or sending an email to GDPREurope@anz.com. If you withdraw your consent, ANZ will not be able to provide you with these services any longer.
Lawfulness of processing
We will generally process your personal data if and to the extent necessary
- for the performance of your application process and to determine whether to enter into an employment contract with you;
- for compliance with our legal obligations (such as statutory record retention obligations);
- to protect our legitimate interests or those of any third party recipients that receive your personal information, always provided that such interests are not overridden by your interests or fundamental rights and freedoms (e.g. in case of a dispute in connection with your application); or
- where you have given us your consent (the Job Notification Consent).
Please note that you are not under any obligation to provide your personal information to us. However, if you determine not to provide certain personal information, we may not be able to process your application properly or at all.
No automated processing
We will not take any decisions affecting you on the basis of automated processing of your personal information, including on the basis of your applicant profile. Any relevant decisions in relation to your application will be taken by humans.
Your data protection rights
Provided that relevant conditions under the data protection laws of the European Union or the UK are met, you have the following legal rights in respect of your personal information:
- Right to request access to your personal information
- Right to request correction of your personal information
- Right to request erasure of your personal information
- Right to object to processing of your personal information
- Right to request restriction of processing of your personal information.
- Right to request the transfer of your personal information to you or to a third party (data portability)
- Right to object to the use of personal information for direct marketing purposes
- Right to object to a decision made about you based solely on automated processing (which will not apply in your case as we do not engage in any automated decision making)
In addition, where you have given us your consent (the Job Notification Consent), you have the right to withdraw your consent at any time with effect for the future, which means that any processing so far will remain lawful on the basis of your consent. Please note, however, that this will not affect our right to process your personal information on other lawful grounds (e.g. for performance of your application process, compliance with our legal obligations, or to protect our legitimate interests or those of any third party recipients). Further note that, if you withdraw your consent, we will immediately stop processing your personal information on the basis of your consent, and we will not be able to provide you with the services (e.g. we will no longer make your profile visible to other recruiters and/or we will not inform you about any job posting notifications relevant to you).

To protect your personal information, we may request that you provide us with appropriate proof of your identity. While exercising your data subject rights is generally free of charge, we may charge a reasonable administrative fee for any repeated or manifestly unfounded or excessive access requests.
If you are not satisfied with the way we handle your personal information, you have the right to lodge a complaint with the competent data protection supervisory authority in your country of residence.
Where do we process your personal information?
As stated above (see 'Disclosure of your personal information') we may transfer your personal information to recipients outside of the European Economic Area and/or the UK. The applicable data protection laws of such recipient countries may not provide for the same level of data protection as the laws of your home country. Where we transfer your personal information to such countries which have not been found to provide an adequate level of data protection by the European Commission, we will apply appropriate safeguards in accordance with applicable data protection laws to ensure the safety and integrity of your personal information. This may include in particular entering into the EU Standard Contractual Clauses approved by the European Commission which are available here. How long do we store personal information of UK and EEA job applicants?
In accordance with the stricter requirements under the data protection laws of the European Union and the UK, we will hold your data on file for six (6) months from the date of completion of your application process, unless you have consented to us retaining your data longer (on the basis of your Job Notification Consent) or we are required or otherwise permitted to continue storing your data.
